Reports to: Chief Administrative Officer
Supervises: Volunteers, Interns
Schedule: Full-time
Wage Scale: $55,000 - $60,000 annual equivalent salary
FLSA Status: Exempt

 EDUCATION – Bachelor’s Degree is preferred; Associate’s Degree at a minimum.
o Measurable attention to detail
o Ability to communicate (write, speak) in the voice of the CEO and other executive team
o Regularly making decisions that keep PENCIL’s brand image strong
o Thinking beyond the task at hand to the impact the result of the task will have
o Draw conclusions and make suggestions for action
o Able to work independently and proactively without daily instruction
o Unquestionable discretion and integrity
o Adept at anticipating the needs of “C” level executives
o Strong planning and execution skills. Ability to change direction quickly if situations change.
o Ability to absorb constructive criticism well
o Proactively ask questions when a task/project is unclear

o Success with mastering technology and using it to gain efficiencies (i.e. implementing an on-
line calendar scheduling tool rather than using emails to schedule meetings)

o Excellent customer service and relationship management skills
o Ability to work efficiently, prioritize multiple tasks, and hit deadlines
o Demonstrable teamwork and conflict resolution skills
o Organized and able to keep accurate and detailed documentation
o Excellent written and oral communication skills
 EXPERIENCE – 3 + years of experience in a similar role providing high-level assistance to an executive
 CONFIDENTIALITY – ability to manage sensitive information in a professional and confidential
manner as outlined in PENCIL’s Confidentiality Policy

Work Schedule and Hours:

This position will regularly be scheduled to work 40 hours each week, typically Monday – Friday
between 8 a.m. – 5 p.m., with occasional evening and weekend hours for special events. This position is
eligible for full benefits.
